New Cheat Sheet for Volunteers on Using LegalTrek

Below is the gist of the cheat sheet, but without the pictures:

GETTING TO THE DATABASE
Clicking on “Intake” allows you to bring up a list of all intake records in your database, add new records and do searches in the database. Find Case allows you to bring a case up by entering the case/matter #. The Conflicts option gives you the ability access to the entire conflict database. Conflict Check allows you to enter a name for a search of the conflict database. Mediation takes you to the database of mediation records. Time Entry brings up a time sheet to enter the week’s time and Daily Time provides access to the entire timekeeping database.

After you select “intake” from the “File” drop down menu, select all records to be directed to the general database.

Once you are to the database, you can search for specific last names or case numbers. 

Here are some helpful navigation tips:

To find a specific intake, click “Find” and search by last name or by Case/Matter Number. Last name will pull up all intakes with that last name, and may require some searching, but will also show you any other related cases the person may have.   Case/Matter Numbers are specific to certain intakes, and must always be in this format: 18-09-00000 or 18-09-00000ci

INTAKES
Intakes will generally have as much information as we have regarding the person and their case. 

 

Where to start…
Generally, you’ll start by putting your name (if it is not already listed) into the staffing box (most pro bono attorneys will put their name under “Private Atty” but law students may put their name under “Law Student” above).  Once you’ve entered your information, you can enter your time spent on the case and any notes.

DAILY TIME
The Daily Time tab will provide a complete listing of all time entries that have been created on this intake. If you are unable to read all of the comments entered on this screen, you can double click on the entry and it will open for full viewing. Simply scroll to read all of the comments.


TO ADD TIME:                                 

• Click on “Add Time” and then select your name under the available options. Fill in time and notes as necessary. 
• Always make sure that you put the specific advice you gave, including the wording “advised applicant…” 
*(NOTE: If your name is listed as “Private Attorney” your name will automatically be checked—always make sure your name is selected)*

 

TIMESHEETS
An easy way to see all the time you’ve entered in a day, and an easy way to modify a time record is to look at your timesheet.
